Administrative Assistant

We are looking for a highly organized and proactive administrative assistant to anchor the facility’s administrative operations; we offer full support for you to succeed in your role! - From £14.00 per hour
- Paid weekly
Main Duties of Administrative Assistant :
Factory Fit-Out & Installation Support (Immediate Priority)
- Oversee day-to-day coordination with contractors, sub-contractors, and service providers engaged in the facility fit-out.
- Maintain contractor attendance, work logs, gate passes, and compliance documentation (insurance, safety certificates, ID records).
- Coordinate the inward movement of machinery, equipment, and materials – including scheduling deliveries, verifying against purchase orders/invoices, and ensuring proper receipt and handover.
- Manage inward and outward gate registers, and material movement records.
- Maintain stores and inventory for spares, consumables, tools, and fit-out materials required for installation and commissioning.
- Liaise with procurement, logistics partners, and internal technical teams to ensure timely availability of materials at site.
- Escalate delays, discrepancies, or quality concerns to the Facility Manager promptly.
Office Administration
- Maintain a clean, safe, and organized office and site-office environment.
- Coordinate with housekeeping, security, and pantry services.
Documentation & Record-Keeping
- Maintain physical and digital filing systems for contracts, vendor agreements, invoices, and compliance records.
- Prepare, format, and proofread letters, memos, reports, and internal communications.
- Handle confidential information with discretion and professionalism.
Scheduling & Coordination
- Arrange travel, accommodation, and itineraries for team members and visitors.
Finance & HR Support
- Assist in processing vendor invoices, petty cash, and expense reports.
- Support HR activities including on boarding documentation, attendance, and leave records.
- Coordinate with vendors and service providers for payment follow-ups and compliance documentation.
General Support
- Provide administrative support to senior staff as required.
- Assist with internal events, training sessions, site visits, and audits.
- Take on ad hoc responsibilities to support the facility during its ramp-up phase.
Experience Required
- 2-4 years of experience in an administrative or office support role; prior exposure to a factory, manufacturing, or project/construction-site environment will be a strong advantage.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills in English; regional language proficiency is a plus.
